Payroll Information - March 3, 2023

Hello, employees.  We would like to provide you with the following payroll update.  Please take time to read this information carefully.

State Retirement Information 

Our retirement file for the month of September has been submitted and accepted by the ORBIT state retirement system.  The October file has been submitted to the ORBIT system and we are awaiting acceptance.  Once the October file is accepted, we will be able to submit the file for November.  

Form W-2c Information

Employees who received incorrect information on their Form W-2 should email Gina Waters in our payroll office (gswaters@gaston.k12.nc.us).  If you have already notified Ms. Waters or your principal/financial secretary, there is no need to send another email.  

Earlier this week we began the process of creating the Form W-2c, with ADP (the management services company that handles direct deposit for payroll) to reflect the correct information that will be submitted to the IRS.  Some employees began receiving their Form W-2c this week.  We anticipate that it will take about two weeks to prepare and distribute the Form W-2c to these employees.  A printed copy of the Form W-2c will be sent to affected employees via interoffice mail (courier).  Also, your Form W-2c will be posted and available for download in your ADP account at my.adp.com. The instructions for creating an ADP account can be found on page 15 of the Oracle HCM Handbook.

How Do I Register for my “myADP” Account?

 Online access will be available as soon as the Form W-2c has been completed.

Some employees have questioned the incorrect address listed on their Form W-2 for Gaston County Schools.  Unfortunately, we have learned that ADP will not allow a change to the employer address; however, this should not be an issue when you file your taxes.

As a reminder, your current Form W-2 reflects the actual amount paid to you as an employee during the calendar year 2022.  Any future adjustments that are made to an employee’s 2022 earnings will be reflected on the employee’s Form W-2 for the calendar year 2023.
